Sample handling policy

ARTICLE 1. PURPOSE & OBJECTIVES
This policy is established to ensure that the handling of test samples is carried out accurately according to customer needs, safely, and in compliance with current regulations of Vietnam.
ARTICLE 2. DEFINITIONS
Test Sample: Any material, product, accessory provided by the customer to ExtendMax under the service contract with ExtendMax for analysis, testing, evaluation, or experimentation according to the National Standard (TCVN) or National Technical Regulation (QCVN), or any other standards.
Customer: The person who directly or indirectly sends samples to ExtendMax under the service order for analysis, testing, evaluation, experimentation, or certification.
Volumetric Weight: [Length (cm) x Width (cm) x Height (cm)] / 6000
ARTICLE 3. PRINCIPLES
1. The test sample can be an unreleased product, or officially released to the market. ExtendMax personnel are responsible for ensuring the confidentiality of the test sample.
2. The right to decide on the handling of the test sample belongs to the Customers.
3. However, Customers will automatically relinquish their right to decide on the test sample in the following situations:
- Failure to respond to ExtendMax's request for handling the test sample within a 10-working-day period from the date of notification;
- And/or if the Customer refuses to pay the storage fee for the test sample as stipulated in Article 5 of this policy.
In these situations, ExtendMax will automatically acquire the right to decide how to handle the test sample.
4. The test sample can be handled in one of the following ways: returned to the customer, stored at the customer's request, or destroyed.
ARTICLE 4. SAMPLE HANDLING PROCEDURE
After completing the testing or certification project, ExtendMax personnel are responsible for notifying the customer about the handling of the test sample by email or electronic document. ExtendMax handles the test sample according to the customer's request.
In the case the customer relinquishes the right to decide the sample handling, ExtendMax handles the test sample in accordance with the laws of Vietnam.
ARTICLE 5. STORAGE TERMS AND FEES
Test samples with a volumetric weight under 10 kg are stored free of charge at ExtendMax's warehouse for a period of maximum 02 (two) years from the date of service completion. From the 3rd (third) year onwards, ExtendMax charges a storage fee.
Test samples with a volumetric weight of 10 kg or more are stored free of charge at ExtendMax's warehouse for a period of maximum 02 (two) months from the date of service completion. From the 3rd (third) month onwards, ExtendMax charges a storage fee.
The storage fee is calculated at a unit price of 0.5 USD / kg (volumetric weight) / month. Fire and explosion insurance of 6 USD / 1kg (volumetric weight) is inclusive.
The storage fee shall be paid in advance, once a year.
ARTICLE 6. DISPOSAL OF SAMPLE
In case the customer requests the disposal of the test sample, ExtendMax commits to ensuring the disposal of the test sample is carried out safely and effectively, minimizing negative impacts on the environment and human health, and in compliance with all relevant regulations and standards.
The cost of disposing of the test sample is transparently communicated and claimed to the customer by ExtendMax.
